Beginning January 29, 2009, Midlands Choice will implement a new process to help avoid claim processing delays caused when the same Document Control Number (DCN) has been assigned to more than one claim.
When a duplicate DCN assignment occurs, it is because more than one provider or vendor has submitted a claim with the same number. Currently, our claims system would treat these as duplicate claims. A DCN is assigned to a claim prior to receipt by Midlands Choice. Therefore, there is a possibility that two different submitters (vendor, clearinghouse or payer) could create and submit identical DCNs.
Although these instances are rare and it does not have any affect on your claims submission practices to Midlands Choice, we wanted to make you aware of this improvement and new type of DCN, which you may see on our online Claims Tracking System.
With the new process, we will add a suffix to claims with the same DCN, e.g. 0901121523310005DUP001 and 0901121523310005DUP002. This will allow claims, such as the two in this example, to be treated as distinct claims so they will be accurately processed and tracked.
